Administration Officer – Talent Acquisition Support

About the role
We are looking for an Administration Officer to support our Talent Acquisition team. The role ensures smooth recruitment operations, from interview scheduling to onboarding coordination, while maintaining high standards of professionalism and confidentiality.
Key responsibilities
- Provide day‑to‑day administrative support to the Talent Acquisition function.
- Coordinate and schedule interviews, manage calendars and send invitations to candidates and hiring managers.
- Maintain timely and professional communication with candidates throughout the recruitment process.
- Ensure accurate electronic and physical filing of recruitment records and protect candidate confidentiality.
- Assist with onboarding formalities, including visa documentation, IT access, access cards and workstation allocation.
- Prepare recruitment reports, letters and other HR documentation as needed.
- Support compliance with company policies and UAE labour regulations.
- Contribute ideas for process improvement and cost‑effective recruitment coordination.
Required profile
- Bachelor’s degree in Human Resources, Business Administration or a related field.
- 2–4 years of experience in Talent Acquisition or HR administration.
- Strong organizational skills, attention to detail and ability to work under pressure.
- Professional demeanor with a commitment to confidentiality.
Required skills
- Proficiency in Microsoft Excel and Outlook.
- Experience with HRMS systems (preferred).
