About the role
We are seeking a proactive Assistant Office Manager – Commercial to support the Commercial Office Manager, Chief Commercial Officer and the wider Commercial leadership team in a fast‑paced environment. The role combines executive administration, stakeholder coordination and financial support to ensure smooth day‑to‑day operations.
Key responsibilities
- Provide comprehensive administrative assistance to the Commercial Office Manager, CCO and leadership team.
- Manage calendars, schedule meetings, prepare presentations and control documents.
- Coordinate internal and external communications while maintaining accurate records.
- Support procurement and finance processes, including purchase requests, purchase orders, invoice tracking and budget monitoring.
- Assist with financial reporting and forecasting by tracking commitments and anticipated costs.
- Arrange domestic and international travel, handling flights, accommodation, transportation, visas and travel documentation.
- Act as the central point for internal service requests and external stakeholder follow‑up.
- Cover the Office Manager during absences to ensure business continuity.
- Manage shared inboxes, action trackers, meeting minutes and follow‑up activities.
- Maintain confidential information with discretion while facilitating effective communication across the Commercial team.
Required profile
- Diploma or Bachelor’s degree in Business Administration or a related field.
- 4–7 years of overall experience, with at least 3 years in executive support or office administration.
- Experience in large, complex organisations such as aviation, retail, hospitality or real estate is preferred.
- Strong background in calendar management, meeting coordination, stakeholder handling, document control and procurement support.
- Proficiency with Microsoft 365 applications and basic to intermediate Excel skills for trackers, reconciliations and dashboards.
- Familiarity with procurement and finance workflows, including purchase requisitions, purchase orders and invoice processing.
- Excellent organisational, communication and problem‑solving abilities, with a proven capacity to work under pressure while maintaining confidentiality.
- Immediate availability or a maximum notice period of 30 days.
- Eligibility to work in the United Arab Emirates.
