Care Coordinator – Primary Care Services

About the role

The Care Coordinator in Primary Care Services ensures smooth patient flow within the hospital, acting as the first point of contact for visitors and callers. You will manage appointments, handle insurance queries, and support the financial front‑desk while maintaining high standards of service and confidentiality.

Key responsibilities

• Greet patients, direct them to appropriate departments and provide routine hospital information.
• Answer telephone inquiries, record messages and forward them to the relevant doctor or nurse.
• Manage appointments, including scheduling, rescheduling, confirming and handling no‑shows.
• Register new patients and keep existing patient records up‑to‑date.
• Explain medical insurance coverage, collect co‑payments and issue claim forms when required.
• Process daily cash, credit‑card slips and cheque deposits in accordance with finance protocols.
• Maintain accurate knowledge of clinic times, doctor rosters and booking procedures using the Hospital Information System.
• Generate and process patient invoices, ensuring correct coding of services, dates and charges.
• Respond to email queries promptly and handle complaints in a structured, professional manner.
• Adhere to hospital policies, infection‑control regulations and quality‑improvement initiatives.

Required profile

• Experience in a patient‑facing or front‑office role within a healthcare setting.
• Familiarity with medical insurance processes and basic financial transactions.
• Strong attention to detail and ability to maintain accurate records.
• Good communication skills and ability to work across shifts as required.
• Commitment to confidentiality, patient safety and continuous quality improvement.
