Celebrity & VIP Coordinator

About the role

The Celebrity & VIP Coordinator will orchestrate world‑class travel, hospitality and on‑the‑ground experiences for high‑profile talent visiting Abu Dhabi. Reporting to the Director of Celebrities & VIPs, you will ensure every aspect of a talent’s journey—from arrival to departure—is flawlessly managed, enhancing client satisfaction and strengthening strategic partnerships.

Key responsibilities

• Identify, cast and vet celebrity and VIP profiles that align with client objectives and campaign briefs.
• Conduct talent research, cultural insights, competitive benchmarking and digital trend analysis to support campaign strategy.
• Build and nurture relationships with talent, agents and managers while maintaining accurate CRM records.
• Support day‑to‑day client communication, project tracking and cross‑functional coordination.
• Manage end‑to‑end travel logistics, including itineraries, flights, accommodation, transportation, security, bespoke experiences and gifting.
• Monitor travel‑related budgets and expenses to ensure compliance with approved financial frameworks.
• Act as the primary on‑site contact during events, anticipating talent needs and handling real‑time issues.

Required profile

• Proven experience coordinating celebrity or VIP travel, events or hospitality.
• Exceptional organizational and project‑management abilities.
• Strong communication and relationship‑building skills with talent representatives.
• Ability to work collaboratively with internal teams and external partners.
• Detail‑oriented mindset with a focus on delivering seamless experiences.
