Centralized Accounts Payable Supervisor

About the role

The Centralized Accounts Payable Supervisor will lead the accounts payable function for Fairmont The Palm, ensuring accurate processing of invoices, effective cash‑flow management and timely payments across the resort’s operations.

Key responsibilities

• Maintain an effective system to track payable accounts and support cash‑flow management.
• Obtain, date‑stamp and file all supporting documents (PRs, POs, delivery notes, contracts, etc.) for invoice matching.
• Process daily invoices, match them with authorized documents, and post to the appropriate accounts.
• Validate petty‑cash vouchers, ensure supporting documentation, and post for payment processing.
• Prepare and file paid petty‑cash vouchers for future reference.
• Generate creditor ageing reports for finance and control teams.
• Review payment due dates, submit payment requests and disbursement schedules to the Finance Manager.
• Prepare cheque payments with supporting documents for final approval by the Director of Finance and General Manager.
• Raise and record urgent cheques as needed.
• Close month‑end accounts payable, prepare accruals for goods and services received but not invoiced, and provision for major contracted services.
• Assist in reconciling inventory book balances with physical counts and follow‑up on balance‑sheet schedules.
• Supervise the team, ensure compliance with standards, and maintain proper filing of all reports and documents.

Required profile

• Full working knowledge of accounts payable processes and ability to supervise a team.
• Strong attention to detail for document matching and filing.
• Experience preparing month‑end reports, accruals and cash‑flow statements.
• Capability to coordinate with finance, control and operational departments.

Required skills

• Proficiency with accounting software or systems for invoice processing and reporting.
