About the role
The Crew Scheduling Administrator ensures smooth coordination of offshore personnel, handling documentation, travel arrangements, and daily scheduling activities. Reporting to the Crewing Logistics Coordinator, the role supports both HR and Operations teams to maintain compliance and operational efficiency.
Key responsibilities
- Verify the validity of offshore crew documents and keep personnel files up‑to‑date.
- Liaise with local agencies for visa, Federal Police and SISPAT registrations.
- Coordinate medical leave notifications and inform HR and Operations of any embarkation issues.
- Process supplier invoices (nota‑fiscal) and confirm vacation start dates to offshore personnel.
- Complete timesheets, manage crew movements to and from offshore sites, and produce regular reports for the Crewing Logistics Coordinator.
- Attend mandatory training sessions as scheduled by the supervisor.
Required profile
- High school diploma.
- At least 2 years of experience in administrative or clerical functions.
- Basic to intermediate proficiency in English.
- Strong interpersonal and written communication skills.
- Computer literacy and ability to work with standard office software.
- Commitment to safety, ethics and HSE/Quality standards.
Required skills
- Proficiency with office productivity tools (e.g., Microsoft Office).
- Ability to manage documentation and maintain accurate records.
