Document Controller

About the role

Mace is delivering a large‑scale digital infrastructure programme in Abu Dhabi and needs a Document Controller to ensure accurate, timely administration of project documentation. You will support a fast‑paced, mission‑critical environment while adhering to Mace’s governance standards.

Key responsibilities

• Coordinate numbering, filing, sorting and retrieval of electronic and hard‑copy documents from design teams, consultants and subcontractors.
• Maintain information in line with Mace procedures and the project’s document management system.
• Onboard Mace staff and external parties to the project system and perform quality checks on new documents.
• Create and update distribution groups to ensure correct information flow.
• Maintain the project work‑package matrix and assign documents accordingly.
• Process in‑app reports, administer user access and permissions.
• Ensure the Request For Information (RFI) process operates according to procedures.
• Contribute to net‑zero carbon transition goals by identifying and managing associated emissions.

Required profile

• Degree qualification.
• Proven experience in document control within the United Arab Emirates.
• Strong communication, organisational and time‑management abilities.
• Knowledge of project workflows, documentation processes and industry best practice.

Required skills

• Expert use of EDMS platforms such as Aconex and SharePoint.
• Proficiency with the MS Office Suite.
