About the role
We are an established and rapidly expanding international business seeking a highly organised Executive Assistant to support senior leadership across executive operations, administration, travel coordination, and business support functions. The role is ideal for someone who thrives in a fast‑moving environment, solves problems proactively and can manage changing priorities while maintaining professionalism and discretion.
Key responsibilities
- Manage executive schedules, meetings and business priorities
- Coordinate internal and external communications on behalf of senior leadership
- Prepare meeting agendas, presentations, reports and briefing materials
- Track upcoming deadlines, commitments and business priorities
- Ensure smooth coordination between leadership teams and key stakeholders
- Organise end‑to‑end domestic and international travel, including itineraries, accommodation, transportation and visa requirements
- Support personal administration and lifestyle‑related coordination where required
- Handle confidential correspondence and sensitive matters with discretion
- Resolve scheduling or operational issues efficiently and proactively
- Support office operations, workplace coordination and vendor management
- Assist with facilities, supplies and general administrative oversight
- Maintain organised records, documentation and operational trackers
- Assist with onboarding coordination and employee administration
- Support visa renewals, documentation processes and compliance requirements
- Liaise with external providers and internal teams regarding operational matters
Required profile
- Proven experience as an Executive Assistant, Personal Assistant or senior support professional
- Strong background supporting senior stakeholders or C‑suite executives
- Excellent organisational and time‑management skills with the ability to handle multiple priorities simultaneously
- Experience managing complex calendars, scheduling and international travel coordination
- Strong written and verbal communication abilities
- Ability to maintain confidentiality and handle sensitive information professionally
- Confident stakeholder management across departments and external partners
- Flexible approach with the ability to support outside standard working hours when required
- Comfortable working in a fast‑paced, high‑performance environment
Required skills
- Proficient in Microsoft Office
- Proficient in Microsoft Teams
- Experience with digital collaboration platforms
