About the role
The Facilities Management Supervisor provides essential administrative support to the Facilities Engineers and Facilities Manager within the Al Rostamani Group’s property portfolio. The role ensures smooth communication, accurate documentation, and efficient coordination, allowing the management team to focus on tenant‑facing activities.
Key responsibilities
- Provide day‑to‑day administrative assistance to Facilities Engineers and the Facilities Manager.
- Answer incoming calls professionally, route them appropriately, and take messages or forward to voicemail.
- Draft standard letters, memoranda and other correspondence in response to inquiries.
- Act as liaison between administrators, transmitting directives and following up on assignments.
- Prepare and maintain documents, charts and graphs in final form.
- Organise department meetings, record minutes and track action items.
- Prepare and monitor Local Purchase Orders (LPOs) using the SAP system.
- Enter invoices into SAP and coordinate authorisation with senior facilities staff.
- Assist in compiling office or property budgets and collating expenditure data.
- Maintain filing and record‑management systems.
- Coordinate general office logistics such as desk assignments, stationery, ICT equipment and business support requirements.
- Follow up with Leasing, HR and Finance on payments, contracts and related issues.
- Process delegation of authority documents, including leave requests, invoices and reports.
Required profile
- Proven experience in an administrative or secretarial role.
- Excellent telephone etiquette and clear written communication.
- Strong organisational skills with the ability to manage multiple tasks.
- Ability to liaise effectively with internal departments and external parties.
- Attention to detail in document preparation and record keeping.
