Logistics Administrator

About the role

The Logistics Administrator oversees the end‑to‑end movement of vehicles, ensuring they clear customs, are transported inland and reach the showroom or workshop on schedule and within budget. The role works closely with suppliers, freight forwarders, clearing agents and the After Sales team to guarantee compliance with UAE import and export regulations.

Key responsibilities

• Coordinate bookings, sailing schedules and vessel arrivals with suppliers, shipping lines and freight forwarders.
• Obtain, review and control shipping documents (bill of lading, commercial invoice, packing list, certificate of origin, export certificate) to match purchase orders and VIN lists.
• Track shipments in transit, provide arrival forecasts and flag potential delays.
• Manage customs clearance and port release through appointed agents, ensuring accurate duties, fees and regulatory approvals.
• Arrange inland transport from port to storage, showroom or workshop, verify quantities, VINs and vehicle condition, and document any damage.
• Hand over received vehicles to the Stock Controller with complete documentation and keys.
• Schedule and monitor pre‑delivery inspections with After Sales, ensuring vehicles are ready for display or delivery.
• Maintain a live shipment tracker, verify invoices against tariffs and approve payments, and report landed cost inputs to finance.

Required profile

• Strong attention to detail and accuracy in documentation.
• Ability to resolve exceptions quickly to protect margins and delivery commitments.
• Good understanding of UAE import/export requirements and customs procedures.
• Effective communication with internal teams and external service providers.
