About the role
We are looking for an Office Administrator to oversee the day‑to‑day operations of our DAFZA and JAFZA offices in Dubai. The role ensures smooth facility management, compliance with local regulations, and efficient administrative support for internal teams.
Key responsibilities
- Manage office lease agreements, license renewals and parking allocations for DAFZA and JAFZA locations.
- Coordinate routine facility services such as cleaning, pest control, plant care and handle repair requests with building management.
- Oversee insurance renewals (office, assets, liability) in partnership with the US insurance team.
- Administer utilities including Etisalat accounts, Wi‑Fi subscriptions and UPS systems to maintain operational efficiency.
- Procure office supplies, IT equipment, stationery and pantry items while controlling inventory and vendor costs.
- Handle local and international courier services, maintain shipment logs and track expenses.
- Ensure timely renewal of trade licences, tax residency certificates, brand registration, Dubai Chamber and Dubai Customs documents.
- Maintain Dubai Trade Portal access, update importer/exporter codes and act as primary contact for importer code coordination.
- Collaborate with Finance, Logistics, HR and IT to guarantee compliance with local regulatory requirements.
Required profile
- Proven experience in office administration and facility management within the UAE.
- Familiarity with DAFZA and JAFZA regulatory processes and trade‑license renewal procedures.
- Strong organizational skills with the ability to manage multiple vendor relationships and procurement cycles.
- Excellent communication skills for liaising with internal departments and external authorities.
