Patient Administration Executive

About the role

The Patient Administration Executive is the first point of contact for visitors at the hospital, ensuring a smooth and professional experience for patients and their families. You will manage appointments, handle inquiries, and support the financial and administrative processes of the medical team.

Key responsibilities

• Greet patients, direct them to the appropriate departments and provide routine hospital information.
• Answer telephone inquiries, relay messages to doctors or nurses and arrange callbacks.
• Manage appointments, including handling no‑shows, rescheduling and confirming bookings.
• Register new patients and keep existing patient records up‑to‑date.
• Explain medical insurance coverage, collect co‑payments and provide claim forms when required.
• Process daily cash, credit‑card and cheque deposits, ensuring accurate end‑of‑shift financial reporting.
• Maintain knowledge of the Hospital Information System, clinic schedules, doctor rosters and booking procedures.
• Handle email correspondence promptly and maintain a clean, safe reception area.
• Address patient complaints professionally, respecting privacy and aiming for continuous service improvement.

Required profile

• Strong attention to detail and ability to manage multiple tasks efficiently.
• Excellent communication skills for interacting with patients, staff and external contacts.
• Ability to handle cash and financial transactions accurately.
• Familiarity with hospital policies, procedures and patient confidentiality standards.

Required skills

• Proficiency in using the Hospital Information System.
