Personal Assistant to General Manager

About the role

We are looking for a proactive Personal Assistant to support the General Manager of Gulf Paints and Adhesives Factory. The role is full‑time, on‑site in Al Ain and involves managing daily schedules, coordinating cross‑departmental tasks and ensuring smooth flow of information across the organisation.

Key responsibilities

• Manage the General Manager’s calendar, appointments, meetings and priorities.
• Coordinate and follow up on instructions from the General Manager with Production, Sales, Purchase, Finance, Warehouse, Logistics, Quality Control, R&D and HR departments.
• Prepare daily, weekly and monthly management reports, agendas, presentations, letters and official correspondence.
• Attend management meetings, record minutes and track action items.
• Monitor deadlines, orders, deliveries, payments and other management priorities.
• Assist with production plans, raw‑material requirements, customer orders and delivery schedules.
• Arrange business meetings, factory visits, customer visits, travel, accommodation and transportation.
• Handle emails, phone calls, confidential documents and maintain filing and document‑control systems.
• Support preparation of business proposals, quotations and management summaries.

Required profile

• Bachelor’s degree or diploma in Business Administration, Management, Secretarial Studies or a related field.
• 3–5 years of experience as a Personal Assistant or Executive Assistant.
• Strong organisational skills and ability to work under pressure.
• Professional handling of confidential information.

Required skills

• Proficiency in Microsoft Word, PowerPoint, Outlook and Excel.
• Experience with Microsoft Office suite.
