About the role
We are seeking a Front Office Coordinator to be the first point of contact at our Dubai headquarters. The role combines reception duties, office management and executive support, ensuring a professional and welcoming environment for visitors, clients and senior stakeholders.
Key responsibilities
- Greet and welcome visitors, answer and screen calls, manage the main office inbox.
- Receive, sort and dispatch mail and couriers; oversee meeting‑room bookings and turnover.
- Maintain safety, hygiene and presentation standards of the reception area.
- Oversee day‑to‑day office operations, order and track supplies, pantry stock and printer consumables.
- Liaise with cleaners, building management, IT support and external vendors.
- Provide diary management, expense processing and document preparation for senior leadership.
- Coordinate domestic and international travel, including flights, hotels, ground transport and visas.
- Prepare meeting rooms, arrange refreshments and required materials.
- Manage visitor experience for clients, government delegations and colleagues from DRC, Tanzania and elsewhere.
- Coordinate internal events, team lunches, celebrations and occasional external events.
