Records Management Specialist (Digital Governance)

About the role

The Records Management Specialist will lead the design, implementation and oversight of MBZUAI’s digital‑first records governance framework. Reporting to the Head of IEQA, the role ensures that all institutional records are classified, retained, protected and disposed of in compliance with legal, regulatory and business continuity requirements.

Key responsibilities

• Develop and administer retention schedules, classification structures, metadata controls and automated disposition rules within enterprise records management systems (ERMS).
• Co‑lead the implementation and optimisation of digital enterprise records and content management platforms (DAMS, ERMS), ensuring secure storage, backups and system performance.
• Collaborate with the Digital Archives Specialist to separate operational records lifecycle management from long‑term archival preservation.
• Provide training and advisory support to departments on digital record classification, retention and transfer responsibilities.
• Monitor compliance with records governance policies, support audits, legal holds and regulatory reviews.

Required profile

• Bachelor’s degree in Records Management, Information Governance, Library & Information Science, Business Administration, Law or a related discipline; professional certification (e.g., CRM, IGP) is desirable.
• Minimum 5–7 years of experience in records management or information governance within a digital‑first institutional environment, including development of retention schedules and administration of ERMS.
