Bid Coordinator – Project Management (Dubai)

About the role

This full‑time, onsite position is based in Dubai and is initially offered on a 5‑month outsourced contract with a strong possibility of extension. You will support a high‑profile international organization on large‑scale infrastructure and transport projects, working closely with multidisciplinary teams.

Key responsibilities

• Coordinate and administer the entire tender process from receipt to submission.
• Manage bid documentation in SharePoint, ensuring version control and accurate document tracking.
• Establish and maintain bid folders, repositories, and submission trackers.
• Collaborate with technical, commercial, legal, finance, procurement and other internal stakeholders to gather required deliverables.
• Organise bid kick‑off and review meetings, preparing agendas, minutes and action trackers.
• Monitor bid schedules, submission deadlines and clarification registers.
• Verify that all submission requirements, supporting documents, declarations and compliance items are complete and correctly formatted.
• Liaise with internal and external parties to obtain administrative documentation and agreements.
• Support the bid team by upholding high standards of organisation, compliance and document quality.

Required profile

• Bachelor's degree or Diploma in Business Administration, Office Management, Project Administration or a related field.
• 2–5 years of experience in bid administration, tender coordination, proposal coordination, document control or project administration.
• Hands‑on experience with SharePoint and strong document‑management skills.
• Fluent English; French is an advantage.
