Executive Assistant to Regional Operations Director

About the role

The Executive Assistant provides professional and comprehensive administrative support to the Regional Operations Director, ensuring smooth operations across schools in the UAE and Gulf region. This role coordinates daily office activities, manages communications, and assists with strategic projects to keep the director’s agenda and the organization running efficiently.

Key responsibilities

  • Organise office operations and procedures to ensure efficient workflow and inter‑departmental integration.
  • Perform general clerical duties such as photocopying, faxing, mailing and filing.
  • Answer the director’s telephone calls, direct callers, and place outgoing calls on the director’s behalf.
  • Coordinate and facilitate the director’s calendar, arranging appointments, meetings and conferences.
  • Arrange business travel schedules and logistics.
  • Act as liaison between the director, subordinates and other officials, transmitting directives and following up on assignments.
  • Greet and receive visitors, providing appropriate hospitality.
  • Facilitate communication between the director and department heads to follow up on logistics.
  • Consolidate leave requests and approved vacations for the director.
  • Monitor employee leave requests and conduct to ensure smooth departmental operations.
  • Develop presentations and other material on behalf of the director.
  • Coordinate training sessions and departmental events.
  • Schedule and organise meetings, prepare agendas, take minutes and distribute materials.
  • Handle incoming and outgoing communications, addressing inquiries and resolving issues while maintaining high professionalism.
  • Maintain regional documents, records and files in compliance with data protection and confidentiality policies.
  • Perform other related tasks and projects as delegated by the director.

Required profile

  • Professional and comprehensive administrative support experience.
  • Strong organisational abilities to manage complex calendars and travel logistics.
  • Excellent communication skills for liaising with senior leaders and external contacts.
  • Ability to coordinate inter‑departmental workflow and follow up on assignments.
