Finance Systems Intern – Vendor Management & e‑Invoicing

About the role

The Finance Systems Intern will support Finance, IT, and Zoho teams during the final stage of a vendor management portal implementation. The role focuses on onboarding vendors, transitioning invoice submissions to the portal, and supporting testing and documentation.

Key responsibilities

• Draft outreach emails and manage master vendor contact lists to achieve at least 90% vendor onboarding within two months.
• Attend project meetings, record decisions, track deadlines, and report progress to the Senior Financial Accountant.
• Review the portal against Finance requirements, identify gaps, and coordinate clarifications.
• Support onboarding, validation, and retesting of the portal under supervision.
• Monitor portal adoption, aiming for 90%+ transition of invoice submissions from email to the portal.
• Prepare process documentation, user guides, training materials, and FAQs for internal teams and vendors.
• Collect and populate e‑invoicing data to Zoho, ensuring 100% completion for all clients and vendors.

Required profile

• Currently pursuing or recently completed a degree in Accounting, Finance, Business or a related field, or a professional qualification such as ACCA.
• Understanding of accounting fundamentals and finance processes.
• Exposure to accounts payable, vendor onboarding, purchase orders, invoicing, payment processing, or finance systems implementation is advantageous.

Required skills

• Strong Microsoft Excel skills, including data organisation, lookups, PivotTables and reconciliations.
