Project Coordinator (Freelance)

About the role

The Project Coordinator supports the Projects Director and Project Managers in planning, administration, coordination and close‑out of event and exhibition projects across the GCC. The role ensures project information is accurate, actions are followed up and communication among internal teams and suppliers is smooth.

Key responsibilities

• Set up and maintain project folders, contact lists, programmes, action trackers and document registers.
• Coordinate the flow of briefs, drawings, revisions and approvals between design, production, client and suppliers.
• Prepare and maintain RFQ logs, purchase request trackers and follow up quotations, purchase orders and delivery dates.
• Coordinate site access, permits, delivery schedules, crew lists and on‑site communication, reporting any deviations or risks.
• Prepare regular status updates, support invoice and cost tracking, and compile handover and close‑out documentation.

Required profile

• Diploma or bachelor's degree in project management, business administration, events, engineering, construction or related field.
• 2‑4 years of experience in project coordination, events, exhibitions, fit‑out or production environments.
• Strong written and spoken English; Arabic or regional language is an advantage.
• Availability to work on site, travel within the GCC and support projects outside normal office hours.
