Corporate Events Coordinator

About the role

The Corporate Events Coordinator will manage the full lifecycle of corporate events across Capital Motion's hospitality portfolio, acting as the main point of contact for clients and vendors. The role focuses on delivering tailored guest experiences while meeting commercial targets and ensuring flawless operational execution.

Key responsibilities

• Serve as primary contact for corporate clients, coordinating agenda, seating, AV, menus, branding, floorplans and timing.
• Prepare and maintain comprehensive Banquet Event Orders (BEOs) and distribute them to all operational departments.
• Attend major events to ensure seamless coordination and resolve real‑time issues with venue managers and operations teams.
• Handle financial coordination, including pro‑forma invoices, deposits, final billing, payment tracking and post‑event reconciliation.
• Support the sales team with proposals, menus, corporate packages and maintain CRM updates, event calendars and client logs.
• Collaborate with internal teams and external suppliers (AV, décor, entertainment, rentals) to meet event requirements.

Required profile

• Minimum 2 years experience in corporate event coordination.
• Strong client‑handling and communication abilities.
• Proven capability to manage BEOs and coordinate across multiple internal departments.
• Familiarity with CRM systems and Microsoft Office suite.
