Freelance Administrator – Event Services

About the role

We are looking for a proactive Freelance Administrator to support the Event Services Department at Coca‑Cola Arena. You will ensure smooth administrative operations for a variety of high‑profile events, handling documentation, finance tracking and stakeholder communication.

Key responsibilities

• Manage departmental administration, including filing, archiving and office organization.
• Process financial documents in Microsoft Dynamics Business Central: raise Purchase Requests, post Purchase Invoices and track LPOs.
• Coordinate event‑related finances, reconcile post‑event quotations and follow up on supplier invoices.
• Submit compliance documents such as DCD permits and fire‑truck payment requests on time.
• Maintain venue operation logs, inventory records and archive Post Event Reports on SharePoint.
• Track guest experience issues via the complaints master report and prepare monthly summaries.
• Provide executive support to the Associate Director: manage calendars, arrange meetings, prepare materials and take minutes.
• Assist in drafting presentations, department reports and routine communications while ensuring confidentiality.

Required profile

• University degree or equivalent qualification.
• UAE National status is preferred.
• Own valid visa/sponsorship as the role is on a freelancer agreement.
• Strong attention to detail and ability to handle confidential information.
