Groups, Conference & Events Executive – Luxury Hotel

About the role

The Groups, Conference & Events Executive at Waldorf Astoria Dubai Palm Jumeirah ensures seamless planning, coordination and delivery of group bookings, meetings and events. Acting as the primary liaison between international clients and internal hotel departments, you will uphold the brand’s high standards of service and excellence.

Key responsibilities

• Respond promptly to all group, meeting and event inquiries, providing accurate information.
• Manage the full event lifecycle from initial enquiry through post‑event follow‑up.
• Provide translation or language support during client meetings, site inspections and event coordination.
• Liaise with Banqueting, Food & Beverage, Front Office, Housekeeping and AV teams to ensure flawless execution.
• Prepare tailored proposals, confirmations and event contracts.
• Conduct site inspections and showcase event spaces to prospective clients.
• Coordinate logistics including room set‑up, AV requirements, catering and timing.
• Act as the on‑the‑day contact for clients, handling last‑minute changes and guest needs.
• Maintain event records, contracts and billing details in the event management system.
• Assist with billing, deposits and invoice processing in line with hotel policies.

Required profile

• Strong communication skills with the ability to build lasting client relationships.
• Attention to detail and ability to manage multiple events simultaneously.
• Proficiency in English; additional languages are an advantage.
• Experience in hospitality or event coordination is preferred.
