About the role
SmartWills is a Dubai‑based legal‑tech startup that helps expats create UAE wills remotely. We are looking for a meticulous Operations Assistant to be the first point of contact for new clients and ensure flawless document handling.
Key responsibilities
- Conduct 2‑3 daily video onboarding calls, explain services and guide clients through the will registration process.
- Prepare and update legal documents (wills, powers of attorney, guardianship letters) with zero errors and log details in the client database.
- Coordinate with lawyers, track document status and proactively inform clients of any delays.
- Maintain the CRM pipeline in Go High Level, entering all interactions immediately and providing weekly reports to the CEO.
- Leverage AI tools such as ChatGPT and Claude to draft communications, take call notes and organise data.
Required profile
- 1‑2 years experience in a legal assistant, law firm or client‑facing operations role.
- Fluent written and spoken English.
- Professional presence on video calls.
- Exceptional attention to detail and experience working remotely.
