Senior MEP Document Controller

About the role

Lead project document control and correspondence workflows, ensuring all engineering, construction, quality, commercial and handover records are correctly registered, distributed, revision‑controlled, traceable and retrievable. The role involves establishing document‑control procedures, managing the project EDMS/CDE, and coordinating document activities across multidisciplinary teams.

Key responsibilities

• Establish and administer the project document‑control procedure, filing structure, numbering conventions, distribution matrix and correspondence workflow.
• Operate the project EDMS/CDE at an advanced level for transmittals, RFIs, submittals, drawings, metadata, revision control and permissions.
• Receive, register, quality‑check, distribute and archive incoming/outgoing technical and commercial documents in line with contractual turnaround requirements.
• Maintain master registers for drawings, material submittals, method statements, RFIs, WIR/MIRs, correspondence, NCRs and other deliverables.
• Monitor review/approval cycles, follow up overdue responses and ensure only current approved documents are available for project use.
• Lead a team of document controllers, allocate workloads, train users and enforce consistent standards across the project.

Required profile

• Diploma or bachelor's degree in Business Administration, Engineering Support, Information Management or a related discipline.
• Minimum 10 years of document‑control experience in construction/engineering, preferably on major MEP projects.
• Strong knowledge of transmittals, workflows, revision control, metadata, registers and audit trails.
• UAE/GCC project experience is strongly preferred.
