CAFM Operator & PPM Scheduler

About the role

The CAFM Operator / PPM Scheduler will manage the Computer‑Aided Facility Management (CAFM) system and oversee preventive‑maintenance (PPM) scheduling for a large facilities project. The role ensures that all planned, reactive, and corrective work orders are accurately logged, assigned, tracked, and closed within agreed service levels.

Key responsibilities

• Log, update, assign, monitor and close work orders in the CAFM system.
• Maintain accurate asset, location, service category, priority and schedule data.
• Prepare, update and monitor PPM schedules; generate and assign PPM work orders.
• Track PPM completion, follow up on overdue tasks and ensure proper documentation.
• Coordinate with helpdesk, FM engineers, supervisors, technicians and subcontractors to drive timely execution.
• Monitor SLA/KPI performance and produce daily, weekly and monthly reports.
• Maintain dashboards, trackers and status updates for management and client review.
• Support audit preparation by ensuring CAFM records are complete and traceable.

Required profile

• Bachelor’s degree or diploma in Facilities Management, Business Administration, Engineering, IT or related field.
• 2–4 years of experience in facilities management, CAFM operations or maintenance planning.
• Certification in CAFM, CMMS or FM planning is a plus.

Required skills

• Proficiency with MS Excel.
• Proficiency with MS Outlook.
• Experience using CAFM or CMMS platforms.
