Document Controller with IT Support

About the role

SharpMinds Consulting Engineers is looking for a reliable and detail‑oriented Document Controller who will also provide first‑level IT support for routine office issues. The role involves managing project documentation throughout all stages while ensuring confidentiality and accuracy.

Key responsibilities

• Manage, maintain and organise project documents, drawings, transmittals, correspondence and records.
• Ensure proper receipt, filing, tracking, distribution and archiving of all documentation in line with company procedures.
• Maintain document registers, numbering, revision control and version management.
• Prepare, submit and monitor document transmittals, ensuring timely distribution to internal and external stakeholders.
• Coordinate with project teams, clients, contractors and authorities for document submissions and approvals.
• Maintain both electronic and hard‑copy filing systems for project documentation.
• Provide basic first‑level troubleshooting for computers, printers, Microsoft 365 applications, email and other office equipment.
• Escalate advanced technical issues to the outsourced IT service provider.

Required profile

• Bachelor’s degree or diploma in Information Technology, Computer Science or a related field.
• Minimum 5 years of UAE experience as a Document Controller, preferably within an engineering consultancy, construction, architecture or MEP environment.
• Strong organisational, communication and problem‑solving abilities.
• Fluent written and spoken English.

Required skills

• Proficiency with Microsoft Windows and Microsoft 365.
• Experience with document control systems such as SharePoint, AutoDesk, Aconex or Oracle.
• Knowledge of computer hardware, printers and basic networking.
