Office Administrator & Outreach Coordinator

About the role

Lunasol, a growing full-service marketing agency in Dubai specialising in social media, digital marketing, content production and AI visibility, is looking for an organised, proactive and detail-oriented Office Administrator & Outreach Coordinator. The role supports daily operations, business communications and outreach activities, and is a full-time, office-based position in Dubai.

Key responsibilities

• Prepare and send professional emails to businesses featured in the Dubai AI Visibility Report.
• Coordinate the preparation and delivery of official letters, reports and correspondence.
• Manage email follow-ups and maintain accurate contact databases.
• Research companies and identify relevant business contacts.
• Handle daily office administration and documentation.
• Coordinate with suppliers, couriers and service providers.
• Assist with meeting scheduling and calendar organisation.
• Support the management team with operational tasks and keep the office organised.

Required profile

• Previous experience in office administration, executive assistance or a similar role.
• Excellent written and spoken English.
• Strong organisational skills and attention to detail.
• Ability to work independently and manage multiple tasks.
• Professional communication skills and a proactive attitude.
• Previous UAE work experience preferred.

Required skills

• Confident use of Google Workspace and Microsoft Office.
• Email platforms.
