Proposal & Tender Coordinator - Interior Design & Fit-Out

About the role

Majesta is a Dubai-based interior design and fit-out company working on luxury residential, commercial, hospitality and bespoke projects. It is looking for a highly organized, creative and detail-oriented Proposal & Tender Coordinator to support its business development and project teams in preparing proposals, commercial offers, tender submissions and client presentations.

Key responsibilities

• Prepare professional interior design and fit-out proposals, including company introductions, project descriptions, methodologies and scope-of-work documents
• Develop technical and commercial proposals in PowerPoint, Canva and Word, customized to client requirements
• Prepare company profiles, capability statements and project portfolios
• Review client inquiries, RFQs, RFPs and tender documentation, and coordinate with designers, estimators, procurement and project managers to gather technical and commercial information
• Compile BOQs, pricing schedules and commercial offers, and ensure proposals are accurate, well-formatted and submitted on time
• Maintain tender registers and proposal tracking reports
• Organize client correspondence and meetings, maintain a database of proposals, projects and potential clients, and follow up on quotations and tender opportunities
• Assist management with business presentations, reports and correspondence, and keep a library of proposal templates and company documents

Required profile

• Minimum 3-5 years of experience in proposal coordination, tender administration or business support
• Previous experience in interior design, fit-out, architecture, construction or engineering strongly preferred
• Excellent written and spoken English and strong business writing skills
• Ability to understand architectural and interior design terminology
• Strong organization, attention to detail and ability to handle multiple proposals and tight deadlines independently

Required skills

• Advanced Microsoft Word, Excel and PowerPoint
• Good knowledge of Canva or Adobe InDesign is an advantage
