Workshop Administrator – Heavy Equipment

About the role

We are seeking a highly organized and detail‑oriented Workshop Administrator to support the efficient operation of the workshop. The role involves coordinating maintenance activities, managing documentation, maintaining accurate records, and ensuring effective communication between workshop personnel, operations teams, suppliers, and management.

Key responsibilities

• Prepare and schedule equipment maintenance, repairs, inspections and servicing, aligning with operations and logistics requirements.
• Maintain accurate service history, maintenance reports, inspection checklists, parts consumption records and warranty documentation.
• Monitor spare‑parts inventory, raise purchase requests, coordinate with suppliers on availability, quotations and invoice follow‑up.
• Assist in preparing cost estimates, performance reports, downtime analysis and support budget tracking for the workshop.

Required profile

• 3‑5 years of experience in workshop or maintenance administration, preferably in heavy equipment, construction, transport or industrial sectors.
• Proven ability to maintain detailed records, manage spare‑parts inventories and handle workshop documentation.
• Strong communication and coordination skills to work with multiple internal departments and external suppliers.
• Knowledge of heavy equipment maintenance processes and workshop operations is preferred.
