Document Controller

About the role

4SPACE Design is looking for an organised Document Controller to manage project information across interior design, technical design and project‑delivery activities. The role ensures that drawings, submissions, approvals and correspondence are accurately registered, tracked and securely maintained throughout each project lifecycle.

Key responsibilities

• Maintain document‑control systems, folder structures, naming conventions and distribution workflows.
• Register and track drawings, specifications, material submissions, RFIs, reports, meeting minutes and correspondence.
• Control document revisions and guarantee teams work from the latest approved information.
• Manage incoming and outgoing transmittals, drawing registers, submission trackers, approval logs and status reports.
• Coordinate document submissions with clients, consultants, contractors, suppliers and internal teams.
• Monitor review deadlines, follow up on overdue items and archive superseded documents with a clear revision history.
• Prepare weekly document‑control reports and support project hand‑over by compiling approved drawings, warranties, manuals and close‑out records.

Required profile

• Diploma or bachelor’s degree in Business Administration, Engineering, Construction Management or a related field.
• Minimum 3 years of document‑control experience in interior design, architecture, engineering, consultancy or fit‑out projects.
• Strong attention to detail, organisational and time‑management skills.
• Excellent written and spoken English and ability to coordinate with multiple stakeholders.

Required skills

• Microsoft Excel, Word and Outlook.
• Experience with Aconex, Asite, Procore, Autodesk Construction Cloud or SharePoint.
