Executive - Clinic Administration

About the role

The Executive – Clinic Administration leads the operational performance of the medical centre, ensuring excellent customer service, quality, cost efficiency and compliance with company strategy and regulatory standards. This role is pivotal in coordinating multiple departments, supervising staff, and maintaining high standards of patient care and clinic operations.

Key responsibilities

• Implement and improve Quality SOPs while working closely with the Quality Manager.
• Coordinate insurance processes at the clinic level.
• Supervise daily accounting activities and manage financial records.
• Oversee store operations, raw material purchasing, movement, and usage.
• Manage housekeeping, waste disposal, and routine checks in treatment and procedure rooms, ensuring compliance with expiry dates for injections, vaccines, and lab reagents.
• Monitor Ministry of Health (MOH) requirements for the clinic, doctors, and staff to ensure full compliance.
• Maintain patient contact details and internal documentation.
• Coordinate with Lab and Radiology departments to ensure accurate reporting.
• Arrange visiting doctors' appointments and support radio talk coordination.
• Supervise front‑office administration, schedule monthly duty rosters, and monitor employee attendance.
• Provide on‑site assistance to patients, ensuring no patient waits more than five minutes unattended.
• Induct, train, develop, and support staff, handling performance management and absence coordination.
• Communicate company messages, promote teamwork across departments, and assist in organizing CME activities.
• Collaborate with Corporate HR on staff queries, documentation, and training initiatives.
