Facilities Management and Administration Specialist

About the role

The Facilities Management and Administration (FM&A) Specialist manages and coordinates all FM&A operations at the ADIB Center of Excellence in Al Ain. The role ensures the delivery of facilities management, workplace services, general services, hospitality, parking management, logistics, health and safety compliance, vendor management, maintenance, space management and administrative support, keeping the workplace safe, efficient, compliant and customer focused. It is open to UAE Nationals only.

Key responsibilities

• Manage day-to-day facilities operations, including preventive, corrective and reactive maintenance of building systems, equipment and infrastructure
• Monitor FM service providers and contractors against service levels, resolve facility requests, complaints and defects, and conduct regular inspections
• Coordinate office moves, furniture arrangements, space utilization and workplace readiness
• Manage general services such as housekeeping, pantry, stationery, courier and document handling, and oversee hospitality for meetings, training, workshops and events
• Run meeting rooms, manage visitor registration and access, and handle parking allocation and permits
• Coordinate logistics, furniture movements, asset relocation, deliveries and transportation requests, and support new employee onboarding
• Act as the main focal point for FM&A requests and stakeholder coordination
• Promote a customer-centric culture, drive continuous improvement, support digitalization and automation projects, and recommend efficiency improvements
• Support departmental governance, operational reporting, cost control, performance management and adherence to ADIB policies and regulatory requirements

Required profile

• Bachelor's degree in Facilities Management, Engineering, Business Administration, Operations Management or a related discipline
• Fresh graduate or 1-3 years of experience in Facilities Management, Administration, Workplace Services, Property Management or a related field
• UAE Nationality (the position is for UAE Nationals only)
