Groups Reservation Coordinator

About the role

We are looking for a proactive Groups Reservation Coordinator to join our Novotel hotel in Abu Dhabi. You will be the main point of contact for group bookings, ensuring a smooth experience from enquiry to departure.

Key responsibilities

• Handle group booking enquiries via email and telephone.
• Prepare and issue quotes, contracts and confirm bookings within standard processing times.
• Manage group payments, pre‑payment deadlines and bill‑back instructions.
• Collect and input rooming lists before arrival and balance group bills at checkout.
• Monitor release dates and cancellation deadlines, updating sales and releasing unsold rooms.
• Collaborate with the sales team to create contracts, load groups into the PMS and apply negotiated rates.
• Maintain organized records of bills and contracts for accounting.
• Produce weekly and monthly sales updates, pick‑up and release reports.
• Provide sales with operational details (dinner times, breakfast times) for weekly meetings.

Required profile

• Previous experience in hotel reservations or a similar role.
• Good knowledge of Opera Cloud reservation system.
• Confident handling of incoming calls and emails.
• Ability to work independently and as part of a team.
• Strong organisational, interpersonal and problem‑solving abilities.
