Port Agency Operations Coordinator

About the role
The Port Agency Operations Coordinator will oversee end‑to‑end port agency activities, ensuring vessels are turned around efficiently while managing disbursement accounts and complying with principal and port requirements.
Key responsibilities
- Coordinate vessel port calls from pre‑arrival to post‑departure, liaising with authorities, terminals, customs, immigration and service providers.
- Arrange pilotage, towage, berthing, stevedoring, bunkering, fresh water, provisions and crew changes.
- Prepare and submit Proforma and Final Disbursement Accounts, monitor payments, reconcile expenses and control costs.
- Maintain accurate operational and financial documentation, produce status updates, port call summaries and variance reports.
- Act as primary contact for principals, owners and charterers, ensuring high‑level customer service and timely communication.
Required profile
- Bachelor’s degree in Logistics, Maritime, Shipping or a related field.
- 4–7 years of experience in port agency operations and/or vessel disbursement accounting.
- Strong knowledge of port operations, tariffs and maritime regulations; break‑bulk/project cargo experience preferred.
- Ability to escalate issues promptly and make decisions on‑site.
Required skills
- Disbursement Account (DA) preparation and reconciliation.
- Port call coordination and stakeholder management.
- Familiarity with UAE port systems and shipping software.
