Purchasing & Accounting Assistant

About the role

This role supports the company with daily accounting tasks while managing petty cash, issuing sales and purchase invoices, keeping accurate data entries and handling purchasing activities according to restaurant requirements.

Key responsibilities

• Daily data entry: record expenses, purchases and supplier invoices in QuickBooks, update sales records from POS and delivery platforms, and maintain accurate ledgers.
• Petty cash: handle day-to-day payments, keep a log with receipts and approvals, reconcile balances weekly and report to the Finance Manager.
• Invoicing: prepare and issue sales and purchase invoices for wholesale, catering, event and credit customers, and maintain customer ledgers with payment follow-up.
• Documentation: organize and file financial documents, receipts, purchase orders, GRNs and supplier statements, both physically and digitally.
• Finance coordination: work with the Finance Manager and the external accounting firm to align month-end reporting.
• Purchasing: receive purchase requests from the kitchen and operations team, contact approved suppliers and place orders, monitor delivery times and follow up on delays or shortages.
• Price and stock monitoring: keep supplier prices and availability up to date, alert management to low stock, assist in monthly inventory counts and reconciliations.

Required profile

• Bachelor's degree in Accounting or equivalent.
