Receiving Clerk – Hotel Supply Management

About the role

As a Receiving Clerk in a luxury hotel, you will ensure that all supplies arriving at the property meet the required standards of quality, quantity and price, supporting seamless operations and exceptional guest experiences.

Key responsibilities

• Verify quality, quantity, pricing and shelf‑life of incoming supplies against purchase orders.
• Control acceptance of all goods, confirming volume and quantity.
• Maintain records required by municipal and local authorities.
• Notify the Purchasing Manager and Executive Chef of rejected deliveries, shortages or non‑supply for corrective action.
• Enter all internal goods movements into the computer system daily.
• Support cost‑control objectives and maintain audit trails.
• Update the Cost Supervisor with daily supporting documentation.
• Keep inventory system documents up‑to‑date for supplies on order.
• Assist with quarterly, bi‑annual and annual inventories of operating equipment.
• Support month‑end inventory reconciliations and inventory system administration.
• Perform any other reasonable duties assigned by supervisors.

Required profile

• Proficient in receiving, inspecting and accurately recording incoming goods.
• Able to identify discrepancies, damages or defects and take appropriate action.
• Capable of managing shipments, maintaining records and coordinating with internal departments for timely deliveries.
• Effective communication with vendors, carriers and internal teams regarding shipments and schedules.
• Familiarity with inventory management software or strong basic data‑entry skills.
