Sales Coordinator – Maintenance

About the role

NAFFCO is looking for an organised, customer‑focused Sales Coordinator – Maintenance to join its sales operations team in Ajman. You will support the maintenance sales function by handling quotes, processing orders, and acting as the main liaison between customers and service teams to ensure smooth delivery of contracts and parts.

Key responsibilities

• Manage end‑to‑end order lifecycle for maintenance contracts, service agreements and spare parts, including entry, validation, invoicing coordination and status updates.
• Prepare and review maintenance quotations, coordinate approvals and revisions with sales engineers and managers.
• Serve as primary contact for customers on order status, contract renewals, service scheduling and minor technical queries.
• Collaborate with field service, planning and logistics to schedule visits, allocate resources and track job completion.
• Monitor spare‑parts availability, raise purchase requisitions and coordinate fulfilment with warehouses and suppliers.
• Maintain accurate contract records, track renewal dates and support upsell activities.
• Keep CRM/ERP systems up‑to‑date with all customer interactions, quotations, orders and invoicing information.
• Produce regular reports on order status, renewals, service call volumes and parts usage, highlighting risks and opportunities.
• Identify and recommend process improvements to streamline order‑to‑service workflows.

Required profile

• Minimum 1 + year experience in sales coordination, customer service or operations, preferably in maintenance, engineering or after‑sales environments.
• Strong attention to detail, excellent communication skills and ability to work with cross‑functional teams.

Required skills

• Experience with CRM and ERP systems (e.g., Salesforce, Microsoft Dynamics or similar).
• Proficiency in Microsoft Excel (filters, basic formulas) and Outlook.
• Familiarity with order management, invoicing processes and basic inventory control.
