About the role
We are looking for a proactive Secretary cum Document Controller to support the CEO and manage critical business documents for our fast‑growing automotive service company in Dubai. This full‑time, on‑site position combines executive assistance with rigorous document control to ensure smooth operations and compliance.
Key responsibilities
- Provide comprehensive secretarial and administrative support to the CEO, including calendar management, meeting coordination, travel arrangements, and reminders.
- Prepare, format, and maintain business documents such as reports, presentations, letters, and correspondence.
- Handle incoming and outgoing emails, calls, and official communications professionally.
- Maintain filing, tracking, and document control systems for contracts, agreements, invoices, approvals, licenses, and other critical records.
- Ensure all company documents are up‑to‑date, accurately stored, and easily retrievable.
- Coordinate with internal departments to collect, review, submit, and follow up on important documents.
- Support management by taking meeting minutes, tracking actions, and following up on pending tasks.
- Draft official letters, internal memos, reports, and external communications while maintaining confidentiality.
Required profile
- Minimum 2 years of experience as a Secretary, Executive Assistant, Administrator, or Document Controller.
- Strong command of written and spoken English; Arabic and Hindi are a plus.
- Excellent organizational skills with high attention to detail.
- Ability to manage multiple priorities, work independently, and perform under pressure.
- Professional communication style and polished appearance.
