Document Controller & Secretary – Urgent Hire

About the role

Light.Func is seeking a Document Controller and Secretary to manage documentation workflows and provide secretarial support for its lighting design studio in Dubai. The role supports around 35 projects per year, ensuring accurate tracking, quality checks and organized digital archives.

Key responsibilities

• Manage, submit and track project documentation using Aconex and Autodesk BIM 360.
• Perform QA/QC checks on drawings, reports and submittals before issue.
• Maintain organized digital archives, version‑control systems and master deliverable logs.
• Process, distribute and archive correspondence from architects, engineers and contractors.
• Monitor project timelines, flag scheduling bottlenecks and support senior designers.
• Provide secretarial assistance, schedule team meetings and organise studio “Lunch and Learn” events.

Required profile

• Bachelor’s degree from a recognised institution.
• Minimum 3 years of document management experience in design, engineering or construction.
• Strong multi‑project organisational ability.

Required skills

• Proficiency with Aconex and Autodesk BIM 360.
• Advanced use of Microsoft Word, Excel and PowerPoint.
• Experience with PDF editing tools.
