About the role
The International Office of AD Ports Group is seeking an Executive Administrative Assistant to support the Chief in daily operations. This role ensures smooth office functioning, facilitates communication across units, and contributes to project initiatives within the global expansion framework.
Key responsibilities
- Manage the Chief’s calendar, schedule meetings, and coordinate visits.
- Organise meetings, distribute materials, take minutes and handle correspondence.
- Maintain office supplies, oversee space management and coordinate repairs or maintenance.
- Provide project‑management support for International Office initiatives as directed.
- Facilitate internal communications between the Chief’s office and other departments, units, and clusters.
- Act as the primary point of contact for external stakeholders, ensuring timely and effective responses.
- Assist in planning and executing corporate events, including room reservations, agenda preparation and catering.
- Support the development and enforcement of administrative policies and procedures.
- Monitor the unit’s budget, track expenses and flag any issues.
- Conduct research and gather information to aid decision‑making and project planning.
- Prepare presentations and reports reflecting office activities, status and issues.
Required profile
- Bachelor’s degree in Business Administration or a related field.
- Excellent proficiency in English and Arabic.
- Relevant administrative experience (minimum years not specified).
