About the role
We are seeking a highly organized and proactive Executive Personal & Operations Assistant to support the founder across multiple companies and projects. This role goes beyond traditional assistance, acting as the executive’s memory, operations coordinator, and personal office manager.
Key responsibilities
- Manage calendar, meetings, reminders and daily priorities.
- Prepare briefs for meetings and extract actionable points afterwards.
- Follow up with clients, team members, partners, suppliers and track pending tasks.
- Maintain client files, documents, checklists and operational updates.
- Update and maintain CRM/project‑management tools such as ClickUp, Google Drive, Google Calendar and related systems.
- Coordinate documents, appointments, visa/residency processes, attestations and external service providers.
- Draft professional WhatsApp messages, emails, reports, meeting notes and follow‑up summaries.
- Research vendors, service providers, opportunities and operational solutions.
- Create organized trackers, SOPs, templates and follow‑up systems to ensure nothing is missed.
Required profile
- Excellent organizational and follow‑up abilities.
- Strong written and verbal communication in Arabic and English.
- High attention to detail and ability to juggle multiple priorities.
- Proactive mindset with discretion and confidentiality.
- Experience in executive assistance, operations coordination, customer success, immigration/visa services, business setup or project management is a plus.
