HR Coordinator – Recruitment & Visa Management

About the role

The HR Coordinator will support Albinora Consulting’s recruitment, deployment and visa processes for staff in Abu Dhabi. The role ensures smooth onboarding, maintains accurate employee records and manages visa and passport renewals. You will act as a liaison between applicants, internal teams and external authorities to ensure compliance with labour regulations.

Key responsibilities

• Prepare offer letters and coordinate completion of recruitment documents with candidates.
• Collect and scan required staff documents, upload them to the HRM system and sharing folders.
• Arrange medical examinations, Emirates ID processing and issue medical insurance cards.
• Track visa and labour approval status, forward documents to applicants and update operations for deployment.
• Run monthly reports on visa and passport expirations, notify staff and relevant teams, and submit renewal documents to GROs three weeks before expiry.
• Follow up with GROs on renewed visas and labour cards, and provide staff with updated copies.
• Log and respond to employee queries and complaints through the HRM system, ensuring timely follow‑up.

Required profile

• Experience handling recruitment documentation and visa processing.
• Strong attention to detail for maintaining employee records.
• Ability to communicate effectively with candidates, internal teams and external authorities.

Required skills

• Proficiency with HRM/HRMS systems and document management tools.
