Document Controller – Real Estate Projects

About the role

The Document Controller is responsible for establishing and maintaining robust document control systems across the lifecycle of real‑estate projects, ensuring accurate versioning, proper flow of information, and compliance with company and regulatory standards.

Key responsibilities

• Establish and maintain comprehensive document control procedures aligned with company standards.
• Manage document numbering, coding, filing systems, and revision control with accurate version tracking.
• Maintain master document registers and databases, providing status updates and distribution tracking.
• Process transmittals, submissions, and correspondence among project stakeholders.
• Review documents for completeness, accuracy, and compliance with project specifications and quality standards.
• Coordinate document reviews and approvals through established workflows and monitor completion.
• Interface with project teams, contractors, consultants, and clients regarding document requirements.
• Prepare and distribute document status reports and facilitate review meetings.
• Maintain audit trails and support internal and external audits with required documentation.
• Archive completed project documentation according to retention policies.
• Provide training and support to team members on document control procedures.
