Executive Assistant to Managing Director

About the role

We are seeking an experienced Executive Assistant to support the Managing Director of an international marketing agency based in Dubai. The role involves providing high‑level administrative support in a fast‑paced, multi‑national environment.

Key responsibilities

• Manage the Managing Director’s calendar, schedule meetings across multiple time zones and coordinate complex international travel arrangements.
• Act as the primary gatekeeper, handling inbound communications and liaising with internal and external stakeholders on behalf of the Managing Director.
• Prepare executive correspondence, reports and presentations, ensuring accuracy and confidentiality.
• Support office operations, including event planning, meeting logistics and facilities coordination.
• Maintain and organise filing systems, records and confidential documents.

Required profile

• 3‑5 years of proven experience supporting senior C‑suite executives in the UAE.
• Highly proactive, organised and able to anticipate the Managing Director’s needs.
• Excellent communication skills with the confidence to represent the Managing Director professionally.
• Experience in an agency or professional services environment is highly desirable.

Required skills

• Advanced proficiency in calendar and travel management.
• Strong written and verbal English communication.
