Group, Conference and Events Intern

About the role

Conrad Dubai is looking for a Group, Conference and Events Intern to support the planning and delivery of events, coordinating logistics and collaborating with diverse teams so that every detail meets the hotel's luxury standards. The intern helps create seamless, memorable experiences for guests and gains hands-on experience in event sales, administration and client service.

Key responsibilities

• Review incoming enquiries, qualify group and event requirements and prepare tailored proposals within 24 hours of qualified leads.
• Follow up proposals and tentative bookings, support negotiations and nurture existing relationships.
• Prepare contracts and amendments, coordinate signatures and follow up on deposits.
• Update Delphi with offers, bookings, room blocks and event details in line with Hilton's commercial standards.
• Support planning of confirmed groups and events, including site inspections and client briefings.
• Create and distribute Banquet Event Orders (BEOs), Group Instruction Sheets, rooming lists and group files.
• Coordinate with Food and Beverage, Front Office, Housekeeping, Finance and other departments.
• Assist with room blocks, Special Rate Plans, permit applications, pro-forma invoices, final billing and group account reconciliation.
• Follow up on deposits, coordinate invoicing with Finance and assist with commission processing.
• Collect client feedback after events and contribute to continuous improvement.
• Build knowledge of the hotel's venues, packages and services, and monitor competitor offerings and market trends.
• Help with reporting, including Delphi extracts, demand calendars and commission reports, and support LightStay reporting and compliance.
• Take part in sales calls, business development activities and team meetings, and help close out groups after departure.
