Library and Orchestra Management Assistant

About the role

The Library and Orchestra Management Assistant supports the operations of a busy symphony orchestra's schedule. The position is dual: working with the Orchestra Manager to process contracts, schedules and other musician information, and working with the Librarian to prepare musical materials. It may also support the Artistic Planning department. The role demands close attention to detail and the ability to work quickly and accurately.

Key responsibilities

• Orchestra management: help the Orchestra Manager devise and communicate the orchestra's schedule, book and arrange additional musicians, and support auditions, meetings, agendas and minutes.
• Library work: ensure timely delivery of music materials, bow, mark up and bind them, erase markings as needed, and support the development and cataloguing of the music library collection.
• Financial: track and record expenditure.
• Non-financial: align with artistic and musical vision, program development, repertoire research and curation.

Required profile

• Degree in music.
• Fluency in Western musical notation, all clefs.
• At least 3 years of experience in a similar role, with a strong background in orchestral performance or administration.
• Proven knowledge of Western classical and contemporary orchestral repertoire.

Required skills

• Excellent organization and ability to handle complex, diverse projects.
• Quick thinking and problem-solving, with close attention to detail.
• Proficiency in Sibelius music notation software.
• Advanced skills in Microsoft software.
• Ability to organize information and maintain document systems and processes.
