Associate Retail Media Billing & Operations

About the role

The Associate Retail Media Billing & Operations role is responsible for end‑to‑end management of media booking invoices, financial reconciliation and supporting the execution of retail media campaigns. You will act as the primary liaison between partners, suppliers and internal finance teams to ensure accurate and timely billing.

Key responsibilities

• Receive, sort and verify incoming media bookings, ensuring partner and supplier information is complete.
• Track and match booking orders to relevant media activations and maintain up‑to‑date documentation.
• Monitor financial discrepancies between spend and advertising investment, and resolve them promptly.
• Create, issue and share insertion orders, and coordinate invoice creation with finance teams.
• Collect and distribute invoices to partners and suppliers, handling any billing concerns.
• Serve as the main point of contact for billing inquiries and provide proof of campaign execution.
• Prepare monthly invoicing status reports and support payment collection from suppliers.
• Utilise Salesforce and other CRM tools to manage workflow and forecast financial outcomes.

Required profile

• 3–4 years of experience supervising digital media payments, preferably in a media agency environment.
• Proven track record in billing and invoice management with strong attention to detail.
• Excellent communication skills and ability to work under deadlines.
• Collaborative mindset with experience working across large, cross‑functional teams.
• Organised, proactive and capable of solving complex problems independently.
