Back Office Assistant – Last Mile Logistics

About the role

The Back Office Assistant supports IKEA’s customer fulfillment and home‑delivery processes within Al‑Futtaim’s retail division. Working from the Dubai office, you will ensure that outbound order activities are executed accurately and on time, helping to maintain the high standards expected by IKEA customers.

Key responsibilities

• Maintain and submit daily KPI reports related to last‑mile delivery performance.
• Post delivered orders in the system and reconcile them using POD confirmations.
• Document classification, sorting, filing and proper archiving of order records.
• Conduct regular spot checks and monitor delivery team performance to uphold quality standards.
• Collaborate with stores and service providers to resolve pending order issues.
• Lead last‑mile teams to ensure timely order fulfillment and safe equipment use.
• Maintain a clean, safe work environment and comply with all safety requirements.

Required profile

• Experience in back‑office or logistics support functions.
• Strong attention to detail and ability to follow documented procedures.
• Effective communication skills for interaction with stores, service providers and internal teams.
• Commitment to representing the IKEA brand positively.

Required skills

• Proficiency in using internal order management systems.
• Ability to generate, reconcile and archive Proof of Delivery (POD) data.
• Competence in document classification, filing and archiving processes.
