Administrative Officer – Operations Support

About the role
The Administrative Officer will provide comprehensive administrative support to the Operations leadership team, ensuring smooth day‑to‑day operations and effective coordination across internal and external stakeholders.
Key responsibilities
- Manage calendars, arrange meetings, travel, and site visits for Operations leaders.
- Coordinate onboarding, access requests, gate passes, and security clearances for new hires, visitors and contractors.
- Support security‑related administrative tasks and liaise with Security and Facilities teams.
- Maintain document repositories with version control, naming standards and proper filing.
- Work with PRO and Government Affairs on permits, documentation follow‑up and submissions.
- Assist with purchase requisitions, invoice tracking and liaison with Finance/Procurement.
- Handle office supplies, facility requests and general site administrative needs.
- Prepare basic reports, trackers and presentations as required by leadership.
- Ensure professional communication with internal departments, vendors, visitors and service providers.
Required profile
- Minimum 5 years of experience in administrative roles, preferably supporting operations or industrial/manufacturing environments.
- Experience coordinating site access, gate passes or security‑related processes.
- Familiarity with PRO activities or government‑affairs documentation is a plus.
- Ability to handle confidential information with discretion.
- Strong organizational skills and the capacity to work independently.
