Digital Archives Specialist

About the role

The Library and Learning Commons Department is seeking a Digital Archives Specialist to manage and preserve the university's born‑digital and digitized records. Reporting to the University Archivist, the role ensures digital collections are discoverable, accessible, and securely stored.

Key responsibilities

• Implement ISO standards (e.g., ISO/TS 16175, ISO 15489, ISO 14721) for digital records management and work with IT to develop an integrated electronic records management system.
• Create and automate retention and disposition schedules, appraise vital records, and coordinate ingestion into an OAIS‑compliant trusted digital repository.
• Develop policies, guidelines, and manuals in line with national archival legislation and international best practices.
• Conduct records surveys, inventories, and audits; safeguard intellectual property and ensure disaster‑preparedness measures.
• Provide technical support for transferring archival content, maintain metadata integrity, and contribute to digital archiving workflow improvements.
• Participate in library public services, workshops, and training; guide student workers and support library programming.

Required profile

• Bachelor’s degree in archival, information, or computer science with at least 6 years of experience in an enterprise‑wide electronic records environment, including 2 years supervisory experience.
• Master’s degree or relevant certification is an advantage.
• Experience in academic library settings is highly desired.

Required skills

• Hands‑on experience with Electronic Document Records Management Systems (EDRMS) and Enterprise Content Management (ECM) platforms such as Micro Focus Content Manager and OpenText.
• Proficiency with archival standards and tools: ISO/TS 16175‑2, ISO 15489, ISO 14721, ISO 23081, ISO/TR 15801, ISO 25964, AtoM, ISAD‑G, and Records in Contexts–Conceptual Model (RiC‑CM).
• Strong IT skills, including mastery of MS Office applications.
